Development Office Audit

Find out where the hours and the dollars go.

Your team works hard. Nobody doubts that. The calendar is full, the gala went off without a hitch, and the database grows every year. Revenue, though, has been flat for a while, and the explanation offered at board meetings changes every quarter.

From inside the development office, the pattern is hard to see. We know because we have sat there. An audit is a structured outside look, by someone who knows what a healthy shop looks like, at how gifts move through the office and where donors fall away. It is not a verdict on your people. Most of what we find is a system problem wearing a person’s name.

What We Do

Interviews and a typical week

We talk with your development staff, your head of school or executive director, the business office, and key board members, and we ask each person to walk us through a typical week. The gap between the job description and the calendar is usually where the story starts.

Following a gift

We trace a gift from the moment it arrives to the moment the thank-you goes out, and we review your CRM setup and entry practices along the way. If a check touches four desks and a spreadsheet before anyone thanks the donor, we will find it.

Multi-year performance

We look at revenue by source, retention, upgrades and downgrades, and what each event and appeal costs against what it raises, across several years. This is where you learn whether the gala earns its keep.

Structure and capacity

We compare roles, reporting lines, and portfolio sizes with your goals. Are your gift officers spending their days with donors, or running the auction?

An equity lens throughout

We look at which donors get cultivated and which only get the mass appeal, who is invited onto committees, and whose giving your recognition practices honor. These patterns are part of how a development office works, so they are part of the audit.

A ranked roadmap and debrief

We write up findings in plain language with recommendations in priority order: what to fix now and what can wait a year. Then we walk your leadership and board through it, so the report gets used rather than shelved.

What You Walk Away With

  • A written assessment of your systems, staffing, and results, with the numbers behind it
  • A map of your gift processing workflow with the bottlenecks marked
  • Retention and revenue trends by source across several years
  • A prioritized roadmap, with suggested owners and sequencing
  • A debrief session with your leadership team and board

Let’s talk.

A development office that runs well gives your people back the hours they came into this work for: time with donors and the community you serve. If you suspect yours could run better, let’s take a look together.
